# Sell Wholesale Office Supplies to Businesses, Schools and Agencies on Their Terms

> Uncap builds wholesale office supplies ecommerce on Shopify for manufacturers, wholesalers and dealers selling paper, writing instruments, filing, toner and ink, and breakroom supplies to businesses, schools and government buyers. The trade runs on the account, not the item. Each account orders at its own price, by the box or carton, with a purchase order number and often an approver.

## The challenge

**Where a generic storefront breaks for wholesale office supplies**

The trade runs on the account, not the item.

| | Factor | Generic storefront setup | What office products sellers need |

| --- | --- | --- | --- |

| Contract prices | One price list for everyone does not describe how this business is sold. | Products and prices per account, with the catalog count planned against your Shopify plan. |
| Sites and tax status | Each school ships and bills on its own, and some are tax exempt. | Each school, office or branch as a company location with its own tax exemptions, shipping and billing address. |
| Approvals and POs | The person placing the order often needs a manager, a budget holder or the business office to sign off first. | Budgets, approvals and limits per user through Uncap Portal, with purchase order numbers on the order. |
| Boxes and cartons | A catalog that stores "box" in the title and nowhere else cannot apply a price break, enforce a carton increment or tell the ERP what was sold. | Units as variants, Shopify quantity rules for minimums and increments, and up to 10 price breaks per product. |
| Repeat orders | A storefront built for browsing makes that buyer search for forty items they already know by heart. | Quick order lists, reorder by duplicating a past order, and Uncap Portal reorder lists. |
| Government buyers | A contract price must appear for the right buyer every time, and product data must show which items qualify. | Remanufactured toner, recycled content, AbilityOne and ASTM D-4236 as filterable attributes, built during implementation. |

### One catalog for the whole building

**The catalog is wide by definition.** OSHA's copy of the Standard Industrial Classification manual describes industry 5112 as "Establishments primarily engaged in the wholesale distribution of stationery and office supplies, including computer and photocopy supplies, envelopes, typewriter paper, file cards and folders, pens, pencils, social stationery, and greeting cards." Its index adds looseleaf binders, business forms and writing ink. Add toner, coffee, liners and cleaning chemicals, and one account buys from every corner of the catalog in a single order.

**The unit is part of the product.** Pens come by the box, copy paper by the carton, toner by the cartridge. A buyer comparing two prices has to know whether one is a dozen and the other a single pen. A catalog that stores "box" in the title and nowhere else cannot apply a price break, enforce a carton increment or tell the ERP what was sold.

**Most orders are repeat orders.** An office manager restocking the supply closet wants last month's list, with this month's quantities, in a few minutes. A storefront built for browsing makes that buyer search for forty items they already know by heart.

### Contract prices, purchase orders and approvals

**Every account has its own price.** A law firm, a school district and a hospital can buy the same ream of paper at three different prices, each agreed in a contract. A school district adds a second layer: each school ships and bills on its own, and some are tax exempt. One price list for everyone does not describe how this business is sold.

**The buyer is not always the approver.** The person placing the order often needs a manager, a budget holder or the business office to sign off first. Many accounts also need a purchase order number on the order before their accounts payable team will pay the invoice.

**Some buyers never leave their procurement system.** Uncap's guide to PunchOut catalogs describes how it works: the buyer clicks into your catalog from their procurement system, and "A single sign-on handoff, typically using the cXML or OCI protocol, authenticates them and passes along their company and cost-center context." The cart then "returns to their procurement system as a requisition," and "A purchase order gets issued back to you."

### Buying rules and labels that live on the product record

**Federal buyers have a purchasing channel of their own.** GSA calls the Federal Strategic Sourcing Initiative for Office Supplies Fourth Generation, FSSI OS4, its latest Federal Strategic Sourcing Initiative solution for office supplies. Its listed benefits include "point of sale compliance, ensuring that purchase card users automatically receive the OS4 price" and "compliance with applicable regulations including the AbilityOne program, and the Trade Agreement Act." For a seller, that means a contract price that must appear for the right buyer every time, and product data that shows which items qualify.

**Recycled content is a buying rule, not a slogan.** Under EPA's Comprehensive Procurement Guideline program, "Once a product is designated, procuring agencies are required to purchase it with the highest recovered material content level practicable." EPA's designated non-paper office products include binders, clipboards, file folders, plastic desktop accessories, printer ribbons and toner cartridges. For toner, EPA's Recovered Materials Advisory Notice "recommends that procuring agencies establish procedures and policies that give priority to remanufacturing the agencies' expended toner cartridges."

**Art supplies carry a conformance statement.** CPSC defines an art material as "any substance marketed or represented as suitable for use in any phase of the creation of any work of visual or graphic art of any medium and packaged in sizes intended for consumers." Its guidance states, "Regardless of whether a hazard exists, all art materials must meet the following requirements," and one of them is a statement of conformance such as "Conforms to ASTM D-4236," placed "whenever practicable on the product." For a seller listing art supplies online, that statement belongs in the product data.

## The Uncap solution

### Accounts, contract catalogs and approvals

**Each customer as a company, each site as a location.** In Shopify B2B, "A company is the parent organization for one or more company locations," and "Each location can have its own tax ID, tax exemptions, shipping address, billing address." A school district becomes one company with a location for each school. A tax-exempt school carries its exemption on its own location.

**Contract prices as catalogs, planned around Shopify's limits.** Shopify B2B runs on the Basic, Grow, Advanced and Shopify Plus plans. "B2B catalogs determine the products and pricing your B2B customers can access." On Basic, Grow and Advanced, "you can assign up to 3 active catalogs across all your B2B markets." On Plus, you can create an unlimited number of B2B market catalogs and assign catalogs directly to companies and locations. A dealer with hundreds of contract accounts needs that plan question settled during scoping, along with which prices come from the ERP.

**Approvals and spend controls in Uncap Portal.** In [Uncap Portal](https://www.uncap.com/products/portal), buyers get real multi-user accounts with roles and permissions, and each buyer sees their assortment and pricing. Spend controls cover budgets, approvals and limits per user, and reps and admins manage accounts, limits and approvals in one place. Shopify can also submit every order from a company location as a draft for review, for accounts that want the seller to check orders before they are finalized.

**Purchase orders and terms at checkout.** Shopify lets B2B customers add purchase order (PO) numbers to an order. "Payment terms define how long a company has to pay for an order," and Shopify's net terms run from net 7 to net 90. NET terms, invoices and payments sit in Uncap Portal. Card buyers can save a card when you use Shopify Payments. Shopify lists accelerated checkouts, including Shop Pay, among the features that "aren't compatible with B2B."

### Boxes, cartons and reorders

**Units sold the way they ship.** Each, box and carton can be set up as variants of one product, with up to 2,048 variants and three options per product. The mapping between those units and the ERP's units of measure is configured during implementation. Shopify quantity rules handle minimums and increments: in Shopify's words, "if your products are boxed in multiples of 10, then you can set your increment rule to 10," and quantity rules "are re-validated in checkout." Volume pricing adds up to 10 price breaks per product.

**Reorders in a few clicks.** Shopify supports quick order lists, so a buyer can add many variants of a product at once, and reorders by duplicating a past order. Uncap Portal adds reorder lists and order history a click away, so the monthly supply closet order starts from last month's list.

**Quotes for the large orders.** Back-to-school bulk orders, a new office opening or an annual bid go through [Uncap Quotes](https://www.uncap.com/products/quotes). Negotiated prices, tiers and volume breaks apply automatically, exceptions go to the right approver, and quotes carry validity windows and a full revision history. The approved quote turns straight into a Shopify order.

### Product data, PunchOut and the ERP

**Compliance attributes buyers can filter.** Remanufactured toner, recycled content, AbilityOne items and the ASTM D-4236 conformance statement become product attributes, built during implementation from your item data. A government buyer can filter to items that fit the program they buy under. Uncap does not certify products. The storefront shows what your suppliers and your team have documented.

**PunchOut when an account requires it.** A PunchOut connection for accounts that buy from a procurement system is built during implementation, on top of company accounts, contract catalogs and current inventory. As the [PunchOut guide](https://www.uncap.com/post/punchout-catalogs-shopify-b2b) puts it, "PunchOut is a buyer-side requirement, not a storefront feature to add for its own sake."

**The ERP stays the system of record.** [Uncap Connect](https://www.uncap.com/products/connect) is the real-time data layer between Shopify and your ERP: inventory, orders, customers and pricing move the moment they change, not in an overnight batch. It starts at $8,000 for onboarding and then a flat $390 per month. Field-level rules decide which system wins, every time, and failed sync events are isolated, surfaced in a live console and replayable, so nothing is silently dropped. Connect has native support for Shopify B2B companies, locations, catalogs, price lists and payment terms, so contract prices kept in the ERP reach the right account. Integration can also run as a managed iPaaS integration.

**Proof, labeled at its true distance.** Uncap has not published an office products case study. Two published builds are close. [Kodo Kids](https://www.uncap.com/work/kodo) sells educational tools to both families and institutions, and Uncap built catalogs and net payment terms for its institutional buyers, with full integration of HubSpot CRM, Unleashed ERP and Shopify Plus. [Microfiber Wholesale](https://www.uncap.com/work/microfiberwholesale) sells cleaning and janitorial supplies to households, retailers and businesses, and Uncap migrated its legacy website to Shopify Plus, giving the business a stable and scalable solution for reaching B2B customers.

## Why Uncap

**The line between product and build, in writing.** Trade accounts, spend controls, NET terms and reorder lists ship in Uncap Portal, quoting and approvals in Uncap Quotes, and ERP sync in Uncap Connect. Unit-of-measure mapping, compliance attributes and PunchOut connections are built during implementation from your data. The scope says which is which.

**Your contracts and your compliance team own the rules.** Uncap does not decide which items qualify for a government program or what a label may claim. Your team keeps the contract prices, the program lists and the supplier documents. The build applies them on each account and each order.

**No one retypes the order.** With Uncap Connect, the order lands in the ERP and fulfillment updates land on the storefront. Your inside sales team spends the day on accounts, not on keying in faxed orders.

**Credentials you can check.** Uncap is a Shopify Platinum Partner.

**Scoped before it is built.** The [Uncap Blueprint](https://www.uncap.com/blueprint) is a $7,500 fixed-price, 4-week Shopify migration plan. It covers solution architecture, a data migration taxonomy, an ERP integration audit, UX and flow prototyping and a replatforming risk register, and the fee is credited 1:1 toward implementation. For an office products business, that work can map the account and location model, the contract catalogs, the units of measure and the ERP integration. You walk with everything you need to brief any agency or your in-house team.

## Ready to talk

Bring two documents. The first is your contract price file, with a column for each account or price group. The second is a list of your top accounts, with their sites, who approves their orders and whether they need PO numbers or PunchOut. Together they show how many catalogs you need, how the account model looks and where the ERP has to feed the storefront.

[Talk to Our Experts](https://www.uncap.com/quote), or start with a Blueprint if what you need first is the account model, the contract catalogs and the ERP mapping written down and costed.

## Frequently asked questions

### Where can I buy office supplies wholesale?

Businesses, schools and agencies buy office supplies wholesale from manufacturers, wholesale distributors and dealers. OSHA's copy of the SIC manual describes the wholesale trade as "Establishments primarily engaged in the wholesale distribution of stationery and office supplies, including computer and photocopy supplies, envelopes, typewriter paper, file cards and folders, pens, pencils, social stationery, and greeting cards." Federal agencies also buy through GSA's FSSI OS4 program. For a seller, Uncap builds the Shopify store those buyers order from, with contract prices, PO numbers and reorders per account.

### What does a wholesale office supplies store need that a retail store does not?

Accounts, not shoppers. Each customer needs its own contract price, sites with their own addresses and tax exemptions, PO numbers, approvals and terms. On Shopify, companies and company locations hold the account structure, catalogs hold the contract prices and quantity rules enforce box and carton increments. Uncap Portal adds budgets, approvals and limits per user, NET terms, invoices and reorder lists. Uncap Quotes handles bulk and bid orders, and Uncap Connect keeps pricing, inventory, customers and orders in sync with the ERP.

### Can one Shopify store hold a different contract price for every account?

Yes, within your plan's catalog limits. Shopify B2B runs on the Basic, Grow, Advanced and Shopify Plus plans, and B2B catalogs determine the products and pricing each B2B customer can access. On Basic, Grow and Advanced, you can assign up to 3 active catalogs across all your B2B markets. On Plus, you can create an unlimited number of B2B market catalogs and assign catalogs directly to companies and locations. A dealer with many contract accounts settles the plan during scoping.

### How do government agencies buy office supplies?

Federal agencies have a GSA channel for it. GSA calls the Federal Strategic Sourcing Initiative for Office Supplies Fourth Generation, FSSI OS4, its latest Federal Strategic Sourcing Initiative solution for office supplies, and lists "point of sale compliance, ensuring that purchase card users automatically receive the OS4 price" among its benefits. EPA's procurement guideline also requires procuring agencies to buy designated products, including toner cartridges and file folders, with the highest recovered material content level practicable.

### Can buyers order from their own procurement system?

Yes, through a PunchOut connection, which Uncap builds during implementation for the accounts that need it. The buyer clicks into your Shopify catalog from their procurement system, a single sign-on handoff typically uses the cXML or OCI protocol, and the finished cart returns to their system as a requisition. After their approval, a purchase order is issued back to you. Accounts that do not require PunchOut order through a company login with their contract prices.

### How are boxes, cartons and minimums enforced?

With Shopify quantity rules. Minimum rules set the fewest units that can be bought at once, and increment rules sell in multiples, so a product boxed in tens sells in tens. Quantity rules are re-validated in checkout. Volume pricing adds up to 10 price breaks per product. Each, box and carton can be variants of one product, and mapping those units to the ERP's units of measure is configured during implementation.

### Which ERPs does this connect to?

Uncap publishes thirteen ERP family integrations: Acumatica, Cin7, Epicor, Fishbowl, Infor, Microsoft Dynamics, NetSuite, Odoo, Oracle, QuickBooks, Sage, SAP and Syspro. Distribution systems such as Epicor Prophet 21 and Infor SX.e have their own integration pages. Integrations run through an owned Uncap Connect app embedded in Shopify, or a managed iPaaS integration. On the Connect route, pricing, inventory, customers and orders stay in real-time, two-way sync and the ERP stays the system of record.

### What is the difference between this page and the paper and printer paper page?

This page covers the whole office products catalog at the account level: contract catalogs, school and office locations, PO numbers, approvals, box and carton units, reorders, PunchOut and government buyers. The paper and printer paper page goes down to one category: basis weight, GSM and brightness, and selling one sheet by the ream, the carton and the pallet. Breakroom and cleaning supplies for building service contractors are covered on the janitorial and sanitation page.
