EDI 832 (Price/Sales Catalog)
An EDI 832 is the X12 Price/Sales Catalog transaction set: the electronic catalog a seller sends a buyer to furnish item information and prices. It is used before purchasing starts, in the step X12 calls item data alignment, so that both trading partners hold accurate, matching item information in their own databases.

Also called: 832 Price/Sales Catalog

How it works

An EDI 832 is the X12 Price/Sales Catalog transaction set. X12 describes the 832 as basically a one-way transmission of item information from a seller to a buyer. At a minimum, the seller sends the key item information the buyer needs for the order process and the end consumer needs for an informed purchase decision.

  • On a schedule. The seller transmits the 832 on an agreed-upon schedule.
  • Adds, changes and deletions. An item may be added, deleted or modified in a transmission, and many 832s can follow over an item's lifetime.
  • Acknowledged. X12 says every 832 is followed by a 997 Functional Acknowledgment from the receiver back to the sender.

X12 names the 832 as the non-food catalog, used in general merchandise such as clothing, footwear, housewares, jewelry, pharmaceuticals and hard goods. Food and beverage partners use the 888 Item Maintenance instead.

Where the EDI 832 sits in the X12 supply chain flow

1
832
Price/sales catalog

The seller sends item information so both parties share the same item data before purchasing starts.

2
997
Functional acknowledgment

The receiver sends a 997 back to the seller for every 832.

3
850
Purchase order

With item data shared, the order can carry item identifiers, quantity, price, delivery location and date.

4
856
Ship notice/manifest

The delivery process advises the buyer about product that is being shipped.

5
810
Invoice

Based on the terms of sale or delivery, the seller transmits an invoice requesting payment.

What it contains

X12 lists the item information an 832 may convey:

  • The unique item identifier and the item name
  • Selling unit information, such as length, width, height, depth, weight and color
  • Consumer unit information, such as the same physical attributes plus use instructions
  • The item price at the time the catalog is sent, unless it is conveyed later

The details vary with the item's classification. X12's published price catalog example (implementation guide 004010X353) shows how that looks in segments:

  • BCT: identifies the catalog as a price catalog, with a version number, a name and its purpose (an original).
  • DTM: the catalog's effective date and expiration date.
  • CTB: ordering restrictions, such as a minimum order quantity for the whole catalog or for one line.
  • CUR: the seller's currency and the buyer's currency.
  • N1 to N4 and N9: the selling party, its address and a contract number.
  • LIN: each line item, with the seller's part number, description, manufacturer name and manufacturer part number.
  • CTP: the catalog price, per package in the example.

Example

A parts supplier sends a buyer an 832 with 3 items. One is a filter cartridge priced at $36.00 per case of 12, which works out to $36.00 / 12 = $3.00 per unit.

A second 832 raises that case price to $39.00, adds 1 item and deletes 1. The buyer's catalog still holds 3 items (3 + 1 minus 1), and a 10-case order now costs 10 x $39.00 = $390.00 instead of $360.00. Each 832 gets a 997 back.

On Shopify

On Shopify, the products and prices a seller shares with a B2B buyer are set in catalogs. Shopify says B2B catalogs determine the products and pricing your B2B customers can access, and you set prices and product availability by assigning catalogs to companies and company locations.

  • Pricing tools: catalogs can include or exclude specific products, with volume pricing for price breaks and quantity rules that limit how many items a buyer can purchase in an order.
  • Overlapping catalogs: if several catalogs give one product different prices, the lowest price displays to the customer.
  • Plans: Shopify B2B is available on the Basic, Grow, Advanced and Shopify Plus plans. On Basic, Grow and Advanced, you can assign up to 3 active catalogs across all your B2B markets; Shopify Plus offers an unlimited number of catalogs and direct assignment to companies and locations.

To sync product catalogs and pricing from an ERP, Shopify lists three methods: direct integrations from the Shopify App Store, iPaaS providers, and custom API-based integrations.

How Uncap helps

Uncap's guide to selling medical supplies online with contract pricing describes the 832 as the file a distributor sends an account listing its items and its contract prices. It argues that storefront pricing and price-file generation should draw from the same contract record in the ERP, because a portal that shows $11.40 against a price file that says $11.15 has just taught the buyer to distrust the portal.

Frequently asked questions

What is an EDI 832?

It is the X12 Price/Sales Catalog transaction set. A seller uses it to send a buyer item information and prices in the form of a catalog, and X12 says every 832 is followed by a 997 Functional Acknowledgment from the receiver back to the sender.

What are the different types of EDI transactions?

Each X12 transaction set has its own number and purpose. In X12's basic supply chain flow, item data alignment uses the 832 (or the 888 for food), ordering uses the 850 and 855, delivery uses the 856, invoicing uses the 810 and payment uses the 820.

What is EDI 824 used for?

The X12 824 Application Advice reports the results of an application system's data content edits on a transaction set it received: acceptance, rejection, acceptance with change, or partial acceptance or rejection.
