Talk to our experts- EDI 944 (Warehouse Stock Transfer Receipt Advice)
- An EDI 944 is the X12 Warehouse Stock Transfer Receipt Advice: the transaction set a receiving location uses to advise a depositor, an agent of the depositor or another business party that a transfer shipment has been received. X12 says it gives the depositor or the depositor's agent detail information about the product that has been received.
Also called: 944 Warehouse Stock Transfer Receipt Advice
How it works
An EDI 944 is the X12 Warehouse Stock Transfer Receipt Advice, the confirmation a receiving location sends back to the depositor once a transfer shipment of product has been received.
X12's purpose statement for the 944 names three parts:
- Sender: the receiving location.
- Receiver: the depositor, an agent of the depositor, or another business party.
- Content: detail information concerning the product that has been received.
The 944 pairs with the 943. X12's 943 Warehouse Stock Transfer Shipment Advice is used by a depositor, its agent or another business party to advise the recipient that a transfer shipment has been made, with detail on the product being shipped to that location.
Where the EDI 944 sits in a stock transfer
The depositor or its agent advises the receiving location that a transfer shipment has been made, with detail on the product.
The receiving location takes in the transfer shipment the 943 described.
The receiving location advises the depositor that the transfer shipment has been received, with detail on the product received.
EDI 944 vs EDI 945
The 944 and the 945 are both sent back to the depositor, and both report on product, so they are easy to mix up. X12 gives them different jobs:
- 944 Warehouse Stock Transfer Receipt Advice: product came in. A receiving location advises the depositor that a transfer shipment has been received.
- 945 Warehouse Shipping Advice: product went out. The warehouse advises the depositor or other business party that shipment was made, and the 945 is used to reconcile order quantities with shipment quantities.
On the outbound side, the depositor uses a 940 Warehouse Shipping Order to advise a warehouse to make a shipment, confirm a shipment, or modify or cancel a shipping order, and the warehouse uses a 945 to advise that shipment was made. On the inbound side, the 943 and the 944 do the same for a transfer shipment.
Example
A brand's 943 told its third-party warehouse to expect 100 cases. The warehouse counts the delivery: 98 cases are in good condition and 2 arrived damaged. Its 944 gives the brand detail on the product received, and the brand reconciles 98 + 2 = 100 cases against the 100 on its 943.
If the warehouse is a Shopify location receiving a transfer, staff can accept the 98 good cases and reject the 2 damaged ones. The received quantity is 98 + 2 = 100, and only the 98 accepted cases become available at that location.
On Shopify
On Shopify, the receiving step happens on an inventory transfer. Shopify says that after inventory arrives at the destination location, you can receive the items and record how much of the inventory to accept, reject, or cancel.
- Accept: the inventory becomes available at the destination location, unless the product isn't stocked there.
- Reject: the inventory is recorded on the transfer, but doesn't change inventory quantities at any location.
- Cancel: for items that were never shipped from the origin location.
- Status: after all items are received, the transfer status changes to Transferred. If only some items are received, the transfer remains In progress until the rest are received.
- In the API: an InventoryShipment reports total accepted, rejected and canceled quantities, and its total received quantity is the items accepted, rejected or marked as canceled. The inventoryShipmentReceive mutation receives an inventory shipment and requires the write_inventory_shipments_received_items access scope and permission to manage inventory.
An integration that gets a 944 for stock bound to a Shopify location can use that mutation to record what the warehouse accepted and rejected.
