EDI 945 (Warehouse Shipping Advice)
An EDI 945 is the X12 Warehouse Shipping Advice transaction set. A warehouse sends it to advise the depositor or other business party that a shipment was made. X12 says it is used to reconcile order quantities with shipment quantities. The depositor's 940 Warehouse Shipping Order is the transaction set that asks a warehouse to make a shipment.

How it works

The depositor sends a 940 to advise the warehouse to make a shipment, confirm a shipment, or modify or cancel a shipping order. The warehouse uses a 945 to advise the depositor that the shipment was made.

EDI 945 vs. EDI 856

Both transaction sets describe a shipment, but they travel between different parties:

  • 945 Warehouse Shipping Advice: sent by the warehouse to the depositor. It reports that the shipment was made and lets the depositor reconcile order and shipment quantities.
  • 856 Ship Notice/Manifest: sent by the organization responsible for detailing a shipment's contents to one or more receivers. It lists the contents of a shipment of goods, with order information, product description, packaging, marking, carrier information and how the goods sit in the transportation equipment.

In X12's basic supply chain flow, the 856 is the delivery step between the 855 acknowledgment and the 810 invoice. It advises the buyer about product being shipped.

Example

A merchant's 940 asks its warehouse to ship 40 cases on one order: 15 cases of one product and 25 of another. The warehouse has only 22 cases of the second product on hand, so it ships 15 + 22 = 37 cases. Its 945 reports 37 cases shipped. The merchant reconciles 40 ordered against 37 shipped and sees 3 cases short on the second line.

On Shopify

On Shopify, a fulfillment is a shipment of one or more items in an order. It includes the line items it applies to, its tracking information and the location it ships from. The fulfillmentCreate mutation marks items as fulfilled when they are ready to ship. It can carry tracking information and customer notification preferences, and it can name specific line items to fulfill. If no line items are specified, it fulfills all items in the fulfillment order.

Shopify's tracking information for a fulfillment holds the tracking company, the tracking number and the URLs to track it. When a fulfillment service cannot ship the remaining items, the fulfillmentOrderClose mutation marks the in-progress fulfillment order as incomplete and closes the fulfillment request.
