Sell Appliance Parts From the Model Tag to the Warranty Claim

Uncap builds appliance parts B2B ecommerce on Shopify for manufacturers' parts programs and appliance parts distributors selling OEM refrigeration, laundry, cooking and dishwasher parts to repair technicians, service companies, property managers and dealers. The technician at the machine has a model number from the tag, sometimes a serial, and no part number. At Maytag, where that tag sits changes with the appliance type. The part is found on the manufacturer's exploded view, and its number may have gone obsolete. And on warranty work, your invoice becomes part of the servicer's claim, so it has to match what was ordered.

The challenge

Where an appliance parts order breaks

The technician has a model number from the tag and no part number, and on warranty work your invoice becomes part of the servicer's claim.

Factor
Where it breaks today
What appliance parts distributors need
Model tag
The model tag sits in several places depending on the appliance type, and a tech who cannot find it calls your counter.
Where the tag sits on each appliance type, then the model or the serial, whichever that brand looks parts up by, built during implementation.
Warranty invoice
A claim is generally rejected if the part number, distributor number, invoice number or part cost does not match the purchase.
Each warranty line carries the exact part number ordered, the price the account paid and your distributor number for that brand, built during implementation.
Truck stock
A board bought in March and fitted under warranty in May needs its March invoice number.
A truck stock part traced to its original invoice, so a service company's office can find it without calling you, built during implementation.
Obsolete numbers
If an ordered part waits more than six months, its part number could become invalid, obsolete or NLA.
An obsolete number resolves forward to the part you stock, and the order line keeps the exact part number ordered, built during implementation.
Core deposits
If you pass the deposit on to your accounts, each board sold with one is an open item on that account until the old board comes back.
The deposit sells as its own line, and the account carries an open core balance until the old board comes back, then gets its credit, built during implementation.

The tag is where the order starts, and it is not in one place. Maytag's own help page puts it plainly: "Depending on the appliance type the model number tag can be found in several locations." On a top load washer it sits "Beneath the washer lid on the tub rim." On a built-in dishwasher it sits "On the left side of the tub frame." GE Appliances tells its own parts buyers to "start by locating the model number of your appliance." A maintenance tech who cannot find the tag calls your counter.

Some brands start at the model, others at the serial. True Manufacturing, whose lines include reach-in refrigerators and undercounters, runs its parts search from the serial. Its page reads: "Enter your True product serial number to find replacement parts featuring expanded parts views for easy identification." A distributor with residential laundry and commercial refrigeration on one counter needs a lookup that asks for the identifier each brand uses.

A warranty order is evidence, not only a sale. YourSource News, the news platform of the BrandSource dealer group, ran a claims administrator's best practices for appliance service claims. As a general rule, a claim gets rejected "if any one or more of the following fields do not match with your purchase of the part on the distributor/manufacturer invoicing system." The fields are part number, parts distributor number, invoice number and part cost. "The part number must be the exact part number ordered from your parts distributor or manufacturer; do not use a substitute part number." And "In most cases the distributor number is unique to the manufacturer." Your invoice is what the service company's claim is checked against. The reject codes ServicePower publishes for its ClaimWorks claims system read the same way, from "Blank Parts Invoice Number" to "Not Purchased from Distributor."

Your authorization is on the line too. The same article tells servicers to check with the manufacturer whether "the distributor is authorized to sell parts for warranty service." A servicer filing a warranty claim on your invoice needs your distributor number to be one that brand accepts.

Truck stock breaks the paper trail. The article is specific about the van: "Truck stock parts need to be tracked back to the original order if they are used to perform warranty service." A board bought in March and fitted under warranty in May needs its March invoice number. When the tech cannot find it, your counter looks it up by hand.

Part numbers can go stale on the shelf. The same writer warns: "If you delay using an ordered part for more than six months, the part number could become invalid/obsolete/NLA." A storefront can point a tech to the current part, built during implementation. The claim still has to carry the exact part number ordered, matching your invoice.

Control boards can carry a deposit that comes back through you. GE Appliances runs a Core Deposit Return Program for used control boards. "The core program can only be processed through the original place of purchase." "You will only receive credit for the Core Deposit if you paid the Core Deposit on your original order." Returned boards need the yellow Core Deposit label. If you pass the deposit on to your accounts, each board sold with one is an open item on that account until the old board comes back.

From the tag to the exploded view, with no part number. Uncap Diagrams puts the exploded view on the storefront with clickable hotspots mapped to live SKUs. A technician can add the exact part without a part number and drill from assembly to sub-assembly to part. It filters by model, year, or assembly automatically, and diagram import lets you bring in existing schematics and map callouts. The appliance layer in front of it is built during implementation from your manufacturer data. It shows where the tag sits on each appliance type, then asks for the model or the serial, whichever that brand looks parts up by.

Serial and superseded numbers, scoped as extensions. The machinery and equipment page says it plainly: "Serial-to-build resolution and superseded part chains are built on top of the Diagrams engine rather than shipped in it." The same holds here. An obsolete number resolves forward to the part you stock, and the order line keeps the exact part number ordered. Both rules are built during implementation.

Invoices a warranty claim can use. Each warranty line carries the exact part number ordered, the price the account paid and your distributor number for that brand. A field for the manufacturer's claim or authorization reference is captured at checkout. Both are built during implementation from your ERP and manufacturer data. In Uncap Portal, NET terms, invoices and payments sit in the portal. Order history is a click away. Tracing a truck stock part to its original invoice, so a service company's office can find it without calling you, is built during implementation.

Core deposits tracked to the board. A control board with a core deposit sells with the deposit as its own line. The account carries an open core balance until the old board comes back, then gets its credit. These rules are built during implementation on orders synced through Uncap Connect.

Accounts shaped like the buyers. Uncap Portal gives service companies, property managers and dealers real multi-user accounts with roles and permissions. Each buyer sees their assortment and pricing. Budgets, approvals and limits per user let a property manager cap what each maintenance tech can order. Reorder lists hold the gaskets and filters a fleet keeps reordering.

On whether a more customizable or ERP-native platform handles the parts layer better. The case for those platforms is that tag lookup, supersession and warranty rules need deep custom logic close to the ERP. On Shopify, that appliance layer is built during implementation on top of Uncap Diagrams, a diagram engine already in production. Your ERP stays the system of record. Integration runs through an owned Uncap Connect app embedded in Shopify, or a managed iPaaS integration. On the Connect route there is no separate middleware. Connect keeps inventory, orders, customers and pricing in real-time, two-way sync, and syncs "customer-specific pricing, credit terms, and tax rules."

Exceptions go to a person. An obsolete part, a special order or a warranty part waiting on the manufacturer should not be self-serve. Uncap Quotes runs configure, price, quote inside the Shopify admin, with negotiated prices, tiers and volume breaks applied automatically. It sends exceptions to the right approver, and quotes carry validity windows and a full revision history. An approved quote turns straight into a Shopify order. The routing rules are configured during implementation.

Proof, labeled at its true distance. Uncap has not published an appliance parts distribution case study. The closest is Scooterworks, which sells scooters, parts and accessories to retail customers and authorized dealers. There, "shoppable diagrams allowed users to identify and purchase parts with ease," alongside an ERP integration and Shopify B2B catalogs for dealers. It shows diagram ordering at a business that also sells to dealers, not tag lookup, warranty invoicing or core deposits.

Why Uncap

The line between product and build, in writing. Exploded-view ordering, account pricing, invoices in the portal, quote approvals and one-click order conversion ship in Uncap Diagrams, Uncap Portal and Uncap Quotes. Tag guides, serial entry, supersession, warranty invoice rules, truck stock tracing and core deposits are built during implementation from your data. The scope says which is which.

Credentials you can check. Uncap is a Shopify Platinum Partner, on Shopify since 2013, with 380+ unified storefronts launched on Shopify.

Scoped before it is built. The Uncap Blueprint is a fixed-price, four-week Shopify migration plan, credited 1:1 toward implementation. It covers solution architecture, a data migration taxonomy, an ERP integration audit, UX and flow prototyping, total cost of ownership and a risk register, and ends with a fixed-cost implementation estimate. For an appliance parts distributor, that architecture work can cover tag and model data, diagram mapping, warranty invoice fields, core deposits and the ERP integration. You walk with everything you need to brief any agency or your in-house team.

This page sits under plumbing, HVAC and mechanical, which covers model number lookup from the unit and will call for the service contractor who also buys heating, cooling and water heater parts from you. This page goes one level down, into the appliance tag, the warranty claim and the core deposit. For diagram ordering itself, see machinery and equipment parts ecommerce, which covers fitment by model, year and assembly, assembly trees, diagram import and dealer pricing, with serial resolution and supersession as extensions. For how cross references and supersession chains stay current, see the field notes on part number lookup and cross reference data. For the ERP side, see the Epicor Prophet 21 integration or the full list of ERP integrations.

Ready to talk

Bring two documents. The first is a month of warranty orders, with any claims your service customers had rejected over a part number or an invoice. The second is your open core deposit list for control boards. Together they show how much counter time goes to paperwork.

Book a strategy session with Uncap, or start with a Blueprint if what you need first is the tag lookup, warranty invoice and core deposit logic written down and costed.

07 Common questions

Frequently asked questions

Should an appliance parts distributor on Prophet 21 use an ERP-native commerce product or a more customizable platform instead of Shopify?

Not necessarily. The hard part is the parts layer: tag lookup, serial entry, supersession, warranty invoice rules and core deposits. On Shopify, that layer is built during implementation from your manufacturer data, on top of Uncap Diagrams, which already handles exploded-view ordering. Prophet 21 stays the system of record. Integration runs through an owned Uncap Connect app embedded in Shopify, or a managed iPaaS integration. On the Connect route, pricing, inventory, customers and orders stay in real-time, two-way sync with no separate middleware to maintain.

Where is the model number on an appliance?

Maytag says its model number tag can be found in several locations depending on the appliance type, so check the manufacturer's own guide for that brand. Maytag, for example, lists the tub rim beneath the lid of a top load washer and the left side of the tub frame of a built-in dishwasher. On its ranges, the tag is on the frame of the oven or of the storage drawer. A storefront can show that guide before asking for the number, built during implementation.

Can a technician order appliance parts without the part number?

Yes. With Uncap Diagrams, the technician opens the exploded view for the model, clicks the part and adds it to the cart without a part number. Getting from the tag to the right diagram is the appliance-specific step, built during implementation.

What does it mean when an appliance part number is superseded?

It means the manufacturer has replaced that number with a newer one, so an order against the old number should lead to the current part. In this build, that forward resolution is built during implementation as an extension of Uncap Diagrams. The order line still keeps the exact part number ordered. A claims administrator writing in YourSource News tells service companies not to use a substitute part number on a warranty claim.

What does a warranty parts invoice need to show for the service company's claim?

According to a claims administrator writing in YourSource News, a claim is generally rejected if the part number, distributor number, invoice number or part cost does not match the purchase. The part number must be the exact one ordered. The part cost should be what the servicer paid, without retail pricing or handling costs. Warranty-ready invoice lines are built during implementation, and the invoice sits in Uncap Portal.

How do core deposits on appliance control boards work?

Under GE Appliances' Core Deposit Return Program, a returned board earns credit only if the deposit was paid on the original order. The program can only be processed through the original place of purchase, and returned boards need the yellow Core Deposit label. GE Appliances adds: "The yellow Core Deposit label is the proof that you paid the Core Deposit on your original order." A distributor that passes the deposit on to its accounts has to know which account owes which board. A deposit line, an open balance per account and credit on return are built during implementation.

Which ERPs does this connect to?

Uncap publishes twelve ERP family integrations: Acumatica, Cin7, Epicor, Fishbowl, Infor, Microsoft Dynamics, NetSuite, Odoo, Oracle, QuickBooks, Sage and SAP. Epicor Prophet 21 has its own integration page under the Epicor family. Integrations are delivered through an owned Uncap Connect app or a managed iPaaS integration. For a specific ERP and the depth of sync your operation needs, the Uncap team confirms fit directly.

What is the difference between this page and the machinery and equipment page?

The machinery and equipment page covers finding a part by clicking it off an exploded diagram, with serial resolution and supersession as extensions. This page covers what appliance parts add: finding the tag, model or serial entry by brand, claim-ready invoices, truck stock traced to its invoice, and core deposits. An appliance parts business selling off exploded views uses both.
