Sell Commercial Gym Equipment by the Facility, the Rating and the Quote

Uncap builds commercial gym equipment ecommerce on Shopify for fitness equipment manufacturers and distributors selling to gyms, studios, hotels, schools, apartment and corporate facilities, physical therapy clinics and military or government buyers. The store is built to quote a whole facility package with freight and installation, and to show the commercial rating that fits the room each machine goes into.

Three things make this trade different from a consumer fitness store. Warranty terms can depend on the facility: one manufacturer's in-home warranty does not apply to commercial, institutional or public access use. The ASTM standards for fitness equipment are written machine type by machine type. And in facilities covered by the 2010 ADA Standards, at least one of each type of exercise machine has to comply with section 1004, so the package itself carries an accessibility question.

The challenge

Where a generic storefront breaks for commercial fitness equipment sellers

The store is built to quote a whole facility package with freight and installation, and to show the commercial rating that fits the room each machine goes into.

Factor
Generic storefront setup
What facility buyers need
Use rating
One manufacturer's in-home lifetime warranty does not apply if the product is used in a commercial, institutional or other public access environment.
Use rating (full commercial, light commercial, in-home), warranty term by component and the facility rule behind each term become product attributes, so a buyer sees the coverage that applies to their facility type, not a single headline warranty.
Facility catalogs
Every account sees the same lines, in-home models included.
A hotel group's account can see light commercial and full commercial lines, while in-home models stay out of every facility catalog.
Standards and documents
Under F2276, the documentation shall include assembly instructions, a list of equipment parts, operational instructions and maintenance instructions.
Spec sheets, assembly instructions, parts lists, the ASTM standards each model is built to and the user weight rating sit on the product page as downloadable documents and attributes.
Accessible units
In facilities covered by the 2010 ADA Standards, at least one of each type of exercise machine has to comply with section 1004.
A package builder that counts machine types so the buyer can see which types still need an accessible unit is built during implementation.
Facility packages
A buyer can order the whole room at once, and the quote they approve has to carry freight, delivery and installation lines, not just units.
Freight, delivery and installation lines are built during implementation into facility package quotes in Uncap Quotes.
Service parts
After installation, the store also has to sell wear parts such as cables, upholstery and grips.
A facility manager clicks the part they need straight off the schematic and adds it to the cart, no part number required.

A commercial rating is a rule about the room

One manufacturer's warranties, as an example. One commercial strength manufacturer publishes separate full commercial, light commercial and in-home warranties. Its full commercial terms cover "Frame & Welds" for life, pulleys and guide rods for three years, and "Cables, Upholstery, Grips (Normal Wear)" for one year. Its in-home lifetime warranty does not apply "if the Product is used in a commercial, institutional or other public access environment."

Light commercial has a definition there too. The same manufacturer says its light commercial warranty "applies to facilities that DO NOT charge monthly membership dues and where the equipment would not be used by more than 50 people a day." It lists hotels, apartments, condominiums, personal training studios, and police and fire stations as light commercial facilities. That is one manufacturer's definition, not an industry rule, so the store takes each line's terms from its own warranty documents.

The standard names three settings. ASTM F2276, the Standard Specification for Fitness Equipment, requires warnings alerting "users, third parties, and service personnel" to hazards, provided "for consumer, commercial, and institutional fitness equipment." It also says "The requirements for site-specific labels and user weight restrictions are specified." For the storefront, that makes the use setting and the user weight limit product data to show, not marketing copy.

Standards are written machine type by machine type

One general standard, then the specific ones. ASTM F2276 covers fitness equipment in general and is used with ASTM F2571, the Standard Test Methods for Evaluating Design and Performance Characteristics of Fitness Equipment. ASTM F2216, the Standard Specification for Selectorized Strength Equipment, "takes precedence over Specification F2276 and Test Methods F2571 in areas that are specific or unique to selectorized strength training equipment." ASTM F2115, the Standard Specification for Treadmills, covers "motorized and user-driven treadmills," and says a motorized treadmill's controls "shall incorporate a prominently labeled and user accessible stop switch."

Labels and documents are part of the product. ASTM F1749, the Standard Specification for Fitness Equipment and Fitness Facility Safety Signage and Labels, sets requirements for safety signage and labels on fitness equipment and in fitness facilities, and "provides for the design, placement, and minimum wording required." Under F2276, the documentation "shall include the following: assembly instructions, list of equipment parts, operational instructions, and maintenance instructions." Those are documents the storefront can carry next to each model.

Inclusive design is not a medical claim. ASTM F3021, the Standard Specification for Universal Design of Fitness Equipment for Inclusive Use by Persons with Functional Limitations and Impairments, adds requirements "for the design of commercial fitness equipment to increase access and user independence by people with functional limitations or impairments." It also says products designed to it "must not be automatically classified as fit for medical or rehabilitation fitness purposes." For a seller to physical therapy clinics, that sentence limits what an F3021 rating alone can be used to claim.

The order is a room, not a cart

Accessibility is counted per type. The 2010 ADA Standards for Accessible Design set minimum requirements for "newly designed and constructed or altered State and local government facilities, public accommodations, and commercial facilities." For exercise machines in those facilities, they say "At least one of each type of exercise machine and equipment shall comply with 1004." The advisory explains that a biceps curl machine and a cable crossover are different types, and that stationary bicycles, rowing machines, stair climbers and treadmills each count as their own type. Section 1004.1 requires a clear floor space "positioned for transfer or for use by an individual seated in a wheelchair," and section 305.3 sets it at 30 inches minimum by 48 inches minimum.

Packages, freight and installation. A buyer outfitting a school weight room or a hotel fitness center can order the whole room at once: cardio, selectorized and plate loaded strength, racks, benches and free weights. Machines come with assembly instructions, and the store is built so the quote a buyer approves can carry freight, delivery and installation lines, not just units.

Institutional checkout and wear parts. Schools, municipalities and military facilities are among the buyers, so the store has to take a purchase order number, payment terms and a tax exemption at checkout. After installation, it also has to sell wear parts: in that manufacturer's full commercial terms, cables, upholstery and grips are covered for one year, against three years for pulleys and guide rods.

The Uncap solution

Sell the rating with the machine

Use rating and warranty as product data. Use rating (full commercial, light commercial, in-home), warranty term by component and the facility rule behind each term become product attributes, built during implementation from your warranty documents and item master. A buyer sees the coverage that applies to their facility type, not a single headline warranty.

Catalogs by facility type. Shopify B2B catalogs "determine the products and pricing your B2B customers can access," and you can "include or exclude specific products and set prices for each customer." A hotel group's account can see light commercial and full commercial lines, while in-home models stay out of every facility catalog. On the Basic, Grow and Advanced plans you can assign "up to 3 active catalogs across all your B2B markets"; the Shopify Plus plan "offers an unlimited number of catalogs and direct assignment to companies and locations." Assigning a facility type to each company location is built during implementation.

Standards documents on the page. Spec sheets, assembly instructions, parts lists, the ASTM standards each model is built to and the user weight rating sit on the product page as downloadable documents and attributes, taken from your engineering files and configured during implementation. Uncap does not test or certify equipment. The storefront shows what your engineering team has documented.

Quote the facility package

Packages in Uncap Quotes. Uncap Quotes turns complex B2B and project pricing into structured, trackable quotes, from configuration to approval to a customer-facing quote document that turns into an order without rekeying. Negotiated prices, tiers and volume breaks apply automatically, exceptions go to the right approver, and quotes carry validity windows and a full revision history. Freight, delivery and installation lines, and a package builder that counts machine types so the buyer can see which types still need an accessible unit, are built during implementation. Uncap does not certify ADA compliance.

Terms, purchase orders and tax exemptions. Shopify B2B is available on the Basic, Grow, Advanced and Shopify Plus plans. "Payment terms define how long a company has to pay for an order," with net 7, net 15, net 30, net 45, net 60 and net 90, due on fulfillment or a fixed date. At checkout, "Customers will have the option to enter a purchase order number for the order." Each company location "can have its own tax ID, tax exemptions," which fits a school district buying for several buildings. Deposits, partial payments and payment requests per fulfillment are available only on Shopify Plus.

Volume where volume applies. For dumbbells, plates and accessories sold in sets, Shopify quantity rules and volume pricing handle minimums, increments and up to 10 price breaks per product.

Keep the floor running after install

Service parts by diagram. Uncap Diagrams brings interactive exploded diagrams to your storefront, so a facility manager clicks the part they need straight off the schematic and adds it to the cart, no part number required. Existing exploded diagrams are imported and each callout is mapped to a SKU, with assembly trees from assembly to sub-assembly to part. Pins convert into a bill of materials (BOM), so a full selection becomes one order, and diagram, search and part number all resolve to the same product.

Reorders in Uncap Portal. In Uncap Portal, each buyer sees their assortment and pricing, with reorder lists and order history a click away. Accounts are real multi-user accounts with roles and permissions, with budgets, approvals and limits per user, so a facility manager can order wear parts while a purchasing office approves the spend. NET terms, invoices and payments sit in the portal.

Keep the plant and the storefront in sync

The ERP stays the system of record. Uncap Connect is the real-time data layer between Shopify and your ERP: inventory, orders, customers and pricing move the moment they change, not in an overnight batch. It starts at $8,000 for onboarding and then a flat $390 per month. Field-level rules decide which system wins, and failed sync events are isolated, surfaced in a live console and replayable, so nothing is silently dropped. Connect has native support for Shopify B2B companies, locations, catalogs, price lists and payment terms. Integration can also run as a managed iPaaS integration. Showing a lead time in place of a stock count for build-to-order machines is built during implementation from your ERP.

Proof, labeled at its true distance. Uncap has not published a commercial fitness case study. The closest build shares the buying path, not the product. Canon Medical Systems sells to "hospitals and healthcare systems procuring high-value equipment through formal approvals." On its Shopify storefront, standard products check out instantly, with "capital equipment routed through a quote funnel built on Uncap Quotes." It is medical equipment, not fitness equipment; what carries over is the quote path for high-value institutional orders.

07 Common questions

Frequently asked questions

What is the difference between commercial and residential gym equipment?

The difference shows up in the warranty and in the standards. As one manufacturer's example, its in-home lifetime warranty does not apply "if the Product is used in a commercial, institutional or other public access environment," and its light commercial warranty "applies to facilities that DO NOT charge monthly membership dues and where the equipment would not be used by more than 50 people a day." Those are one manufacturer's terms, not an industry rule. ASTM F2276 requires warnings for "consumer, commercial, and institutional fitness equipment," and ASTM F3021 is written "for the design of commercial fitness equipment."

Which ASTM standards apply to commercial fitness equipment?

ASTM F2276 is the Standard Specification for Fitness Equipment, used with the F2571 test methods. Machine-specific standards sit on top of it: ASTM F2216 for selectorized strength equipment and ASTM F2115 for treadmills. ASTM F1749 covers safety signage and labels for equipment and facilities, and ASTM F3021 adds requirements for the design of commercial fitness equipment for people with functional limitations or impairments.

Does a gym need accessible exercise equipment?

In a facility covered by the 2010 ADA Standards for Accessible Design, yes. Those standards set minimum requirements for newly designed and constructed or altered state and local government facilities, public accommodations and commercial facilities, and they say "At least one of each type of exercise machine and equipment shall comply with 1004." Each type of strength machine and each type of cardio machine counts separately. Section 1004.1 requires a clear floor space positioned for transfer or for use by an individual seated in a wheelchair, and section 305.3 sets that space at 30 inches minimum by 48 inches minimum.

How do facilities buy commercial gym equipment?

A facility outfitting a room can order cardio, strength, racks and free weights together, priced with freight, delivery and installation. On Shopify, that package runs as a quote in Uncap Quotes, with approvals and revision history, and converts to an order on Shopify B2B payment terms such as net 30. Buyers can enter a purchase order number at checkout.

Can a Shopify store sell to tax-exempt schools and government buyers?

Yes. Shopify B2B lets you set tax exemptions at the company or location level, and each company location can have its own tax ID and tax exemptions. A school district or a government agency can be set up as a company with one location per building or base, each with its own exemption and its own purchase order numbers at checkout.

Can equipment built to ASTM F3021 be sold to physical therapy clinics as medical equipment?

Not on the strength of F3021 alone. The standard says products designed to it "must not be automatically classified as fit for medical or rehabilitation fitness purposes," and that products intended for medical use "should comply with any applicable international or national standards." On the storefront, the inclusive design rating and any medical claims are kept as separate attributes, from your own documentation.

How do facilities order replacement parts for commercial equipment?

With Uncap Diagrams, a facility manager opens the machine's exploded diagram, clicks the part straight off the schematic and adds it to the cart, no part number required. Your existing diagrams are imported and each callout is mapped to a SKU. Pins convert into a bill of materials, so several parts become one order, and Uncap Portal keeps reorder lists for the wear parts a facility buys again.

Which ERPs does this connect to?

Uncap publishes thirteen ERP family integrations: Acumatica, Cin7, Epicor, Fishbowl, Infor, Microsoft Dynamics, NetSuite, Odoo, Oracle, QuickBooks, Sage, SAP and Syspro. For equipment manufacturers, the NetSuite and Epicor Kinetic integration pages are good starting points. Integrations run through Uncap Connect embedded in Shopify, or a managed iPaaS integration. For a specific ERP and the depth of sync you need, the Uncap team confirms fit directly.

What is the difference between this page and the sporting goods page?

The sporting goods page covers brands and team dealers: dealer authorization by territory and brand line, MAP, roster ordering with decoration and preseason booking. This page covers equipment sold to facilities: commercial, light commercial and in-home use ratings, ASTM standards by machine type, the ADA count of accessible units, facility package quotes with freight and installation, and service parts by diagram.
